Fleet Supervisor (Engineering)

About the role

Job Description: Position Summary: Supervise daily fleet operations across assigned regions and project sites, ensuring vehicle availability, safety, operational efficiency, cost control, accurate reporting, and policy compliance. Coordinate with internal departments, vehicle owners, and drivers to maintain reliable fleet services.

Key Responsibilities: - Fleet Operations: Coordinate vehicle assignments, sourcing, rentals, and replacements based on operational needs, site conditions, and road accessibility. - Rental and Contracts: Review rental rates and terms, negotiate cost-effective arrangements, and coordinate contracts, renewals, replacements, and terminations within approved procedures. - Cost Control: Review rental, fuel, maintenance, over-kilometer, towing, and other fleet expenses. Monitor budgets, prepare cost projections, identify savings, and resolve discrepancies with Finance. - Company-Owned Vehicles: Oversee vehicle condition, maintenance, repairs, weekly inspections, and monthly inspection reports. Maintain inspection photographs and vehicle histories. - Documentation and Insurance: Track registration, ownership/company-name changes, tax documents, insurance, and rental contracts; ensure records remain valid and renewals are timely. - Fuel, Maintenance, and Safety: Monitor fuel consumption, investigate abnormal expenses, address recurring defects, minimize downtime, and promote safe vehicle use. - Reporting and Performance: Review and submit monthly fleet reports, over-kilometer reports, budget projections, and KPI updates accurately and on time. Maintain organized, auditable records. - Team and Stakeholder Coordination: Allocate tasks, monitor performance, and guide fleet personnel. Coordinate with Cross departments, regional teams, owners, and drivers. - Issue Resolution: Resolve routine disruptions promptly; escalate vehicle shortages, significant costs, safety concerns, and unresolved issues to management.

REQUIRED QUALIFICATIONS AND COMPETENCIES: - Bachelor's degree with relevant experience in fleet management, vehicle rental operations, transportation, or logistics. - Minimum 3 years of experience in fleet management, transportation, logistics, or vehicle rental operations. - Sound knowledge of rental contracts, fleet costs, vehicle maintenance, and operational documentation. - Able to use Microsoft Excel and other Microsoft Office applications. - Strong analytical, reporting, negotiation, communication, and record-management skills. - Ability to supervise teams, prioritize tasks, solve problems, and meet deadlines. - Accountability, integrity, teamwork, attention to detail, and flexibility for urgent operational needs.
